# Refund Policy

Last updated: October 25, 2026

## Who this policy covers

You can pay for SozAI in two places, and the refund rules depend on where you paid.

On the web, Pro, Team and Education plans are sold through Polar, our merchant of record. Polar is the seller of record for these purchases: it charges your card and handles sales tax or VAT. The receipt comes from Polar too. Refunds for web purchases follow this policy.

In the SozAI apps for iPhone, iPad, Mac and Android, you pay Apple or Google. Those refunds are decided by Apple and Google under their own rules, described at the end of this page.

## Web purchases: full refund within 14 days

We refund the full amount of a web payment when both of these are true:

- You ask within 14 days of the payment. This applies to the first payment of a subscription and to every renewal.
- No more than 60 minutes of audio were transcribed in the billing period that payment covers. On a Team or Education plan, the minutes of all members are added together.

The 30 free minutes every account gets once are there so you can try SozAI on a real recording before you pay, which is why the web plans have no trial.

## When we don't refund

Outside those two conditions we don't refund web payments, in full or in part. We don't refund the unused days of a month or a year, and we don't refund a renewal you forgot to cancel once its 14 days have passed.

You can cancel at any time. The subscription then stops renewing, and Premium stays on until the end of the period you have already paid for.

## What we always refund

Whatever the date and however many minutes you have used, we refund:

- a double charge, when you were charged twice for the same plan and the same period;
- a payment taken because of a technical error;
- a payment for a period in which a fault on our side kept Premium from working and we could not fix it.

## How to ask for a refund

Write to [support@sozai.app](mailto:support@sozai.app?subject=Refund%20request) from the email address of your SozAI account. Tell us the email you paid with and, if you have it, the order number from your Polar receipt. All your receipts are in the [Polar customer portal](https://polar.sh/vastflow/portal), where you sign in with the email you paid with.

We usually reply within a working day.

## What happens after a refund

Polar returns the money to the card or payment method you paid with. How long it takes to appear on your statement depends on your bank.

A refunded payment ends the subscription it belongs to, and Premium turns off right away: for you, or for every member of a Team or Education plan. Your recordings and transcripts stay in your account.

As merchant of record, Polar may also refund a payment on its own, for example to settle a dispute with your bank. A chargeback ends Premium in the same way as a refund.

## Cancelling a web subscription

Cancel in the [Polar customer portal](https://polar.sh/vastflow/portal), using the link in your Polar receipt email, or ask us at support@sozai.app. Cancelling stops the next renewal. It does not refund the current period by itself; if that payment meets the 14-day rule above, write to us and we will refund it.

## App Store and Google Play purchases

If you subscribed in the app on iPhone, iPad or Mac, Apple charged you and only Apple can refund that payment. Ask for it at [reportaproblem.apple.com](https://reportaproblem.apple.com/). If you subscribed in the Android app, Google charged you; its rules are on the [Google Play refund page](https://support.google.com/googleplay/answer/2479637).

If you have a store subscription and also buy a plan on the web, you are paying twice for the same Premium. Cancel the store subscription in your App Store or Google Play settings, and for the web payment the 14-day rule above applies. If you are not sure where you paid, write to us and we will help you find out.

## Your rights under local law

This policy does not take away any refund or withdrawal right you have under the consumer law of the country you live in. Where that law gives you more, it applies.
